Write down what you noticed, then what was found
Record the date and the problem in the words you used at the time. If it started and stopped, keep that description. Add the technician’s finding afterward rather than replacing your observation with a guessed part failure.
Keep the parts and work they recorded, along with any follow-up terms. If the behavior returns, add the date and what happened; the original record will still be there to refer to.
A record to keep with the invoice
- Machine
- Brand, model and any relevant serial number.
- Date and problem
- When it happened and what you noticed.
- Technician’s finding
- What the assessment established.
- Work completed
- Parts, work and invoice reference.
- Follow-up
- Agreed terms and whether the problem returned.
Send the relevant entries with any photos the next repair person asks for. Keep unrelated personal information out of copies you share. The notes tool on this site can help write a fresh description, but you’ll need to copy or download it before leaving the page.
The technical and safety advice in this draft still needs to be checked against the manufacturer’s instructions by a qualified reviewer. Follow your machine’s manual.
